Creating Your Account and Signing In
Signing up takes two steps — your own details, then your gym's. This guide covers both, plus verifying your email, picking a plan, and getting back in later.
1. Creating Your Gym's Account
- Select Sign Up on the login screen, under "Don't have an account?".
- On Step 1 of 2: Account Information, fill in First Name, Last Name, Phone Number, Email, Password (8+ characters, 1 special character), and Confirm Password.
- Select Next: Gym Information.
- On Step 2 of 2: Gym Information, enter your Gym Name, plus Gym Phone Number, Gym Email, and Gym Website if you have them.
- Add the disciplines you teach under Martial Arts (optional — see below).
- Select Sign Up.
[!IMPORTANT] Your gym's name, phone, email, and website are set here and can't be edited in the app afterwards, so fill them in now if you have them. Your own name and contact details are read-only on the Account page too. Martial arts and belt systems, by contrast, can be changed any time.
[!NOTE] On the iPhone and iPad app there's no sign-up link — Apple requires account creation to happen outside the app. Create your account at flow-roll.com (a mobile browser is fine) or on Android, then sign in on iOS.
2. Adding Your Martial Arts and Belt Systems
Optional at signup — you can skip it and set this up later from the Account page. Doing it now just saves a step.
- In the Martial Art #1 card, select Select Martial Art and pick your discipline. If it's not listed, choose Other and fill in Please specify other martial art.
- Leave Belt System on if the discipline uses ranks. Disciplines that usually don't — Muay Thai, Boxing, Wrestling — start with it off, and you can turn it on if your gym ranks students anyway.
- Select Select Belt System and choose the progression you use, or Create Custom Belt System to enter your own.
- For a standard system, review the belts in the confirmation and select Confirm — or Change to pick a different one.
- For a custom system, enter each rank from lowest to highest using Belt Color 1, Belt Color 2, and so on, adding ranks with Add Belt.
Teaching more than one discipline? Select Add another martial art and repeat. The first card is marked Primary (star icon); select Set as primary on another card to make that one your gym's main discipline.
3. Verifying Your Email
After signing up you land on Verify Your Email, which confirms where the link was sent.
- Open the email and select the verification link.
- If it hasn't arrived, check spam and junk.
- Select Resend Email to send it again — the button pauses 30 seconds between sends and counts down while you wait.
- Select Back to Login once you're verified.
[!IMPORTANT] You can't use the app until your email is verified. Signing in beforehand just returns you to this screen.
[!NOTE] An account that is never verified is deleted automatically after 30 days without activity, along with the gym record created during signup. Signing in again restarts the 30 days, and verifying your email stops the clock for good. A gym that holds real data — members, staff, or a connected payment account — is never removed this way. Signing up again with the same address works normally afterwards.
4. Choosing a Subscription Plan
On the web and on Android, the plan options appear once, right after a new gym owner's first sign-in. You can reopen them any time from Account (gear icon) → View Subscription Plans.
Only the gym owner can choose or manage the gym's Flow Roll plan. Staff who open this page are asked to contact the gym owner.
- Review the plans — each shows its monthly price, how many students it covers, and its 14 Day Free Trial.
- Select Select Plan on the one you want and complete checkout.
- If you paid in another browser or on another device, select I've Subscribed to refresh your access.
Not ready? Select Skip for now (it reads Cancel if you opened the screen yourself from Account). It won't interrupt you again — reopen it from Account when you're ready.
[!IMPORTANT] Subscriptions can't be purchased inside the iPhone or iPad app, and the plan screen never appears there on its own. On iOS the screen reads Subscription Required and offers Contact Sales — subscribe at flow-roll.com from a computer or mobile browser, then select I Already Have Access. The section is labeled Plan Details on iOS rather than View Subscription Plans.
If Your Subscription Becomes Inactive
If your gym doesn't have an active Flow Roll subscription — it was never started, a payment failed, or it was canceled or ended — a red banner across the top of the app reads Subscription is inactive. Features are restricted. The Subscription Plan section of Account (Plan Details on iOS) shows the status, such as INACTIVE (never subscribed), PAST_DUE, UNPAID or CANCELED.
While it's inactive:
- Your whole team can still sign in and look up members, leads, waivers and the schedule. Nothing is deleted.
- Adding or changing members, leads, waivers and classes is paused, and so are the billing steps in a member's Manage Billing: Start Membership Billing, Link Stripe Customer, Unlink Stripe Customer, Record Payment, and Send Payment Link for a member who isn't linked to Stripe yet. Subscribing a New Customer from Products → Subscriptions is paused too (an Existing Customer can still be subscribed). You'll see a message that the action needs an active subscription, such as This feature requires an active subscription., or a save error ending You don't have permission to do this, or the gym's subscription isn't active.
- Check-ins stop and no visits are recorded. The Check-In Kiosk won't start from the Members page, a kiosk that was already running tells members That didn't go through — please see the front desk., and recording a visit by hand fails too.
Only the gym owner can restore access. On the web and on Android, staff who click Manage are asked to contact the owner; on iPhone or iPad the plan screen looks the same for everyone, so staff should ask the owner directly.
- Click Manage on the red banner, or go to Account (gear icon) → View Subscription Plans (Plan Details on iOS).
- If the status is INACTIVE or CANCELED, subscribe:
- On the web, click Select Plan on a plan and complete checkout.
- In the Android app, follow the How to Subscribe steps and subscribe at flow-roll.com from a browser.
- On iPhone or iPad, subscribe at flow-roll.com from a browser.
- Back in the app, select I've Subscribed (I Already Have Access on iPhone or iPad) if your access hasn't refreshed.
[!IMPORTANT] A status of PAST_DUE or UNPAID means a payment failed. Don't choose a new plan — that starts a second subscription alongside the one whose payment failed. Email support@flow-roll.com and we'll help you update your payment method.
5. Signing In
- On the Welcome back screen, enter your Email and Password.
- Select Sign In.
Select the eye icon in the password field to show or hide what you've typed, and turn on Remember Me to have your email filled in next time.
Already have an address sitting in the Email field — from Remember Me or a saved biometric login? Click into the field and select Clear email (the X icon) to wipe it and sign in as someone else. The X only shows while that field is active and has something in it.
Forgot Your Password?
- Enter your email address in the Email field.
- Select Forgot Password?.
- Confirm the address in the Reset Password message and select Send.
- Open the reset email and follow its link to choose a new password.
[!NOTE] The Email field has to contain a valid address before the reset can go out — otherwise you're prompted to enter one first.
6. Signing In with Face ID or Touch ID
The first time you sign in with Remember Me on, Flow Roll offers to save your login: select Enable on Enable Biometric Login?, or No thanks to skip. Don't ask again stops the offer for good.
Once saved, your biometric option appears next to Remember Me on the login screen — named Face ID or Touch ID on iPhone and iPad, face unlock or fingerprint on Android — and sign-in is attempted automatically when you open the app.
If your saved login stops working after a password change, Flow Roll forgets it and asks you to sign in manually. Enter your password and select Sign In (or use Forgot Password? to reset it). With Remember Me on, Flow Roll offers to save your login again, and you can switch biometrics on or off any time from the Security section of the Account page.
7. Joining a Gym You Were Invited To
If a gym owner invited you as staff, you don't create a gym of your own. Your invitation email links to a You're Invited screen where you select Create Account, and signup skips the gym step entirely. Your email address is fixed to the one that was invited, and you're added to that gym with your assigned role once you verify your email and sign in.
Already started an account with that email? Select Already have an account? Sign In on the same screen instead. Verify your email if you haven't, then sign in — you're added to the gym on your first signed-in visit after verifying.
