Selling Products and Memberships

The Products page is your gym's point of sale. Sell a t-shirt at the front desk, start a member on a recurring plan, and review every charge that's gone through — all without leaving Flow Roll or opening your Stripe dashboard.

[!NOTE] Don't see Products in your navigation? Your gym has Show Dashboard & Products in menu turned off. An admin can turn it back on from AccountStripe Integration. (Editors can see that switch, but the change won't save.)


1. Connect Stripe First

Everything on this page runs through your own Stripe account, so payouts land directly in your bank. Until you connect one, the Products page shows a prompt instead of your catalog.

  1. Navigate to the Account page (gear icon).
  2. Scroll to the Stripe Integration section.
  3. Select Link Stripe Account to Gym (link icon) and authorize the connection in the secure Stripe window.

[!IMPORTANT] Your gym needs an active or trialing Flow Roll subscription before you can connect Stripe.


2. Selling One-Time Products

The Products tab handles anything you sell once — gis, t-shirts, drop-in passes, water bottles.

Adding a Product

  1. Open the Products page (storefront icon) and select the Products tab.
  2. Select the Add Product floating button — on a phone this is a round +.
  3. Fill in the name, description, image, and price.
  4. Select Create Product. The product is created in your Stripe account.

Ringing Up a Sale

  1. Select the product's card to open the checkout sheet.
  2. Under Who is paying?, choose how to collect:
    • Existing Customer — pick them from the dropdown and their saved card is loaded for a one-tap checkout. Only people who already have a Stripe subscription appear in this list.
    • Card Entry — type in a card for a walk-in, or a member with nothing on file.
  3. Select Charge $25.00 (the button shows the actual price) for an existing customer, or Enter Payment Info for a new card.

3. Creating Membership Plans

The Subscriptions tab is where your recurring plans live — Unlimited Monthly, 2x a Week, Kids Program, and so on.

  1. Select the Subscriptions tab.
  2. Select the Create Plan floating button (a round + on a phone).
  3. Enter a name, description, and price, then choose a Billing Period: Daily, Weekly, Monthly, Yearly, Every 3 months, Every 6 months, or Custom… for anything else. Choosing Custom… reveals a "Repeats every N days/weeks/months/years" row.
  4. Select Create Plan.

Subscribing a Member

  1. Select the membership card to open the checkout sheet.
  2. Choose New Customer to enter card details, or Existing Customer to charge a card already on file.
  3. Select Subscribe $50.00 (the button shows the plan's price) to start the recurring subscription.

[!WARNING] After a New Customer payment, a Member Found! dialog offers Link Profile. You have to select it — the subscription is not attached to the member's profile automatically, and skipping this leaves their billing disconnected from their record.


4. Pinning Your Most-Used Items

If you sell the same handful of things all day, pin them to the front of the grid so staff aren't scrolling or searching between customers.

  1. Open the Products or Subscriptions tab.
  2. Select the pin icon in the top-right corner of the item's card. (There's no visible label — hold over it and the tooltip reads Pin to top.)

The card jumps to the front of that tab. Select the same icon again — its tooltip now reads Unpin — to undo it.

You can pin up to 8 items per tab; try for a ninth and Flow Roll asks you to unpin one first. Pins apply gym-wide, so every device sees the same order the next time it loads the page or you select Refresh. Staff with view-only access see the pinned order but don't get the pin button.


5. Editing Products and Plans

  1. On either tab, select Edit (pencil icon) on the card — or press and hold the card.
  2. Update the details.
  3. Select Save Changes.

[!NOTE] You can change an item's name, description, and image here, but not its price. Price changes have to be made in your Stripe Dashboard — the edit sheet has no price field and says so.


6. Transaction History and Receipts

The Transactions tab shows charges, successful payments, and failed attempts from the last 30 days by default.

  1. Select the Transactions tab.
  2. Select any transaction to open its details — customer name, date, the card used for card charges (e.g. VISA **** 1234), and the transaction ID.
  3. Where Stripe has issued a receipt, a View Receipt button opens it on Stripe's secure page.
